School of Nursing: Procedure for Emeritus Retirement

Introduction

Purpose

The purpose of this document is to outline the process of granting emeritus status to a retiring faculty member.

Scope of Applicability

The School of Nursing Division initiates the process and the Dean approves and notifies the faculty member receiving emeritus status.

Procedure

1. If a retiring faculty member requests emeritus status, the Associate Dean notifies the school's Human Resources (HR) Manager via email prior to the retirement date so the HR Manager can indicate the request for emeritus status in the comments section of the end of employment action.

EXCEPTIONS: If we failed to request emeritus status at the time of retirement and the retired faculty member is no longer on the University payroll, then they may just go ahead and call themselves emeritus (no need to do anything in the University system retrospectively).

2. The Associate Dean or the Division Manager will compose a letter (signed by the Dean) to the retired faculty member to inform him/her of the appointment to emeritus rank. The following is an example of the Emeritus Letter of Appreciation:

Dear _________________,

On behalf of the University of North Carolina at Chapel Hill School of Nursing, I am pleased to grant you emeritus status in your rank of professor effective upon your retirement on ____________ , with all the rights and privileges thereto appertaining. We would like to express our sincere appreciation for your dedicated service and unwavering commitment to the university and its constituents.Your __________ years of first-rate service and guidance in the community has played a vital role in creating an environment of excellence in nursing education, research, and practice. By personally setting the highest standards in performance, conduct, and accountability, you represent the very best this institution has to offer. We thank you for your outstanding contributions to the school, the department, our students, and the University. It has been a pleasure to work with you and I look forward to continue our relationship in your emeritus position.

The School of Nursing and its leadership recognizes the gratitude it owes you for your key role in enhancing our school's capability to prepare our nursing graduates and to influence the future of health care. Congratulations on your well-deserved retirement and best wishes for continued outstanding success in all your endeavors.

3. The Letter will be sent electronically to the Dean's Office (attn: Executive Assistant) to be printed on Dean's letterhead and signed by the Dean.

4. The Dean's Office will decide whether to mail the letter or present it to the faculty member at the retirement party.
