Introduction

Purpose

The University of North Carolina at Chapel Hill provides health insurance coverage for eligible students during their enrollment at the University.

Scope

This procedure applies to all departments or campus units enrolling eligible students into the insurance program.

Procedure Statement

This procedure describes the online enrollment process, and required student and department information needed to enroll eligible students in the Graduate Student Health Insurance plan.

Responsibility to Enroll

The student's academic department should enroll the student in the Graduate Student Health Insurance Program.

Online Enrollment Process

The online enrollment process for the Graduate Student Health Insurance Program will be available as of the beginning of August.

In order for health care services to be provided by Campus Health Services, and to receive health insurance cards to waive the student health insurance plan, the student's academic department is encouraged to enroll the student after the student has registered. Failure to enroll students early may result in students having to pay out-of-pocket for healthcare services and/or pay the premium for the student health insurance plan.

Active enrollments and carry forward to new policy year

The enrollment date will display as 08-01-20XX (new policy year) during the initial enrollment period. The department must verify and match the student's local mailing address from the enrollment paperwork to the address in the enrollment system.

Timing of Enrollment

Although eligible graduate students can be enrolled in the health insurance plan throughout the year, the initial enrollment period will be from the beginning of August through Sept. 15. The effective date of coverage for students enrolled during the initial enrollment period will be from Aug. 1. For students enrolled after Sept. 15, the effective date of coverage will be the most recent 1st of the month unless a retroactive enrollment is approved.

Retroactive Enrollment/Termination

To request a retroactive enrollment /termination for 60 days or less, a written justification should be submitted to Cash Management in Accounting Services.

Retroactive enrollments or terminations exceeding 60 days will no longer be allowed for administrative errors beginning Aug. 1, 2015. Only exceptions for extenuating circumstances will be considered. Extenuating circumstances include delays due to death, hospitalization, etc.
