School of Government: Key Policy
Introduction
Purpose
This policy establishes procedures and financial responsibilities for the issuance, replacement, and return of office and building keys at the UNC School of Government. It ensures accountability by employees, students, and temporary employees.
Scope
This policy applies to all employees of the UNC School of Government, including regular employees, student employees, and temporary employees.
Policy
UNC School of Government Key Policy
Each new employee of the School of Government is issued office and/or building keys based on their individual needs. As the Director of Facilities and Distribution Services, Lee Colavito is responsible for issuing these keys and for maintaining a database of key holders.
If keys are lost, the School incurs the additional expense of ordering new keys from UNC-CH Facilities Services. Therefore, employees are required to pay the cost of having replacement keys made, which is $5.00 per key. This cost will not be reimbursed if an employee later finds the original key(s), since the School will have already incurred the cost of replacement.
For security purposes, if a replacement key has been issued and the original is subsequently found, the employee is required to return one key to the Director of Facilities and Distribution Services to be placed back into inventory so that all keys are accounted for in the key database. The employee will be issued a $2.00 credit toward future replacement keys for each key found and returned after paying for a replacement key.
Students employed by the School of Government or temporary employees who are not students must pay a $5.00 deposit for each key they are issued. This deposit will be returned to the student or temporary employee when keys are returned at the end of their employment. If a student or temporary employee loses their key(s), the deposit will cover the cost of replacement key(s) and another $5.00 per key deposit must be submitted to receive the replacement(s).
