University of North Carolina at Chapel Hill Kenan-Flagler Business School: Policy on Granting Continued Amenities to Retired Permanent Faculty Members

Introduction

Retiring permanent faculty members who wish to continue publishing or engaging in other professional activities after retirement often pursue an "emeritus" status designation to more readily reference their prior academic experience and retain certain designated privileges and amenities (e.g., email only), in recognition of their prior academic service, experience, and ongoing scholarly engagement.

Purpose

This document outlines the process for granting continued Kenan-Flagler Business School ("KFBS") amenities to retiring permanent faculty members of the KFBS.

Scope

This policy applies to KFBS permanent faculty who have provided notice of intent to retire, as well as those who have already retired. It governs exclusively those services and amenities ("amenities") that are provisioned and deprovisioned directly by KFBS and that have no dependency on services or functions delivered by the University of North Carolina at Chapel Hill ("University" or "UNC-Chapel Hill"). Amenities, services, or access rights that are provisioned, administered, or otherwise dependent upon University-delivered systems, offices, or functions fall outside the scope of this policy and are governed by the applicable University policies and procedures.

Precedence

This policy is subordinate to all University policies, standards, and procedures. In the event of any conflict, inconsistency, or ambiguity between this policy and an institutional policy, the institutional policy governs and controls. KFBS policy may further specify, clarify, or operationalize University policy as it applies within KFBS, but it cannot override, suspend, supersede, or expand the scope of any University policy. Where a University policy is silent, this policy applies solely to KFBS-provisioned amenities as defined in the Scope section above.

Notice of Change

KFBS will make reasonable efforts to provide at least 30 days' notice to affected emeriti faculty before implementing material changes to this policy or to the KFBS-provisioned amenities covered under it, including the potential discontinuation of a service. Changes to University-delivered services or accounts are governed by the applicable University policies and are outside the scope of this notice commitment.

Policy

This policy is intended to create equity and transparency in the process of granting continued amenities, email, to retiring and retired permanent faculty members with the courtesy designation "emeritus." This KFBS Policy conforms to the University's policies and procedures for granting continued University system access to retired emeriti faculty.

Record Keeping

The KFBS Office of the Senior Associate Dean for Faculty and Research maintains a list of all retired faculty who request continued access to email. This will be confirmed annually.

Email Access

According to the UNC-Chapel Hill Faculty Retirement Planning Guide:

  • Upon retirement, the UNC-Chapel Hill Benefits Office will automatically update the campus directory to reflect "emeritus" status, which ensures continued access to University email.
  • At the KFBS, emeritus faculty who continue to actively participate in the academic life of the school may retain their KFBS email addresses upon request.
  • Requests must be submitted in writing to the Senior Associate Dean for Faculty and Research. Your request should detail the reason for access and specify the resources needed for your assigned responsibilities. Approval is at the discretion of the Dean's Office, and once granted, HR will be notified.
  • Email access will be reconsidered every two years.
  • Email access is provided as a courtesy and may be suspended or revoked by KFBS at its sole discretion, with or without notice.
  • Without an ongoing need, access to KFBS email will end 60 days (about two months) after the retirement date.
  • Per campus practices, retirees accessing University email will have access through a web browser, as desktop email applications will not be available.
  • The emeritus retiree must use strong authentication and meet the security authentication requirements listed in the University's Passwords, Pass-phrases, and Other Authentication Methods Standard.
  • The emeritus must complete the annual University security training and follow the University's Information Technology Acceptable Use Policy.
  • The emeritus must report any potential security incidents involving their credentials or access on the day of discovery to the KFBS IT Department.

Technology Equipment

Emeritus faculty are required to return all University-assigned technology equipment by their exit date.

Office Space

Emeritus faculty who are actively engaged in projects that require a physical presence on campus, such as mentoring students or conducting research, may be given access to the KFBS shared retired office space for continued engagement with colleagues and students. The office includes shared desk space and a limited amount of storage space. The Senior Associate Dean for Faculty and Research will serve as the retired faculty member's contact person regarding their desires for access to the shared retired office before transitioning out of their faculty office.

Business Cards

Emeritus faculty may request University business cards to be printed to reflect their Emeritus title and current contact information. Such requests should be directed to the administrative office of the academic area in which they were last appointed. This is at each Chair's discretion and subject to budget availability within the academic area.

Parking

KFBS does not provide parking for emeritus faculty. Please contact UNC-Chapel Hill Transportation and Parking to request a retired employee permit.

Exceptions

None.

Definitions

Emeritus: Resolution 2004-3 enacted by the Faculty Council provides as follows: "Members of the voting faculty, as defined in the Faculty Code of University Government, who take service retirement and are no longer performing compensated services for the University may continue to use the professorial titles and distinctions that they held immediately prior to retirement with the courtesy designation 'emeritus' or 'emeriti' appended." All retired faculty who fit the criteria will default to "emeritus," but if you'd like to have your title updated to "emerita," please contact the UNC-Chapel Hill Benefits Office at benefits@unc.edu or 919-962-3071 to request this change. KFBS will use the title approved by the UNC-Chapel Hill Benefits Office.
