The objective of the Device Labeling and Inventory Policy is to create and maintain a standard and expectation for registering and cataloging devices owned by the University of North Carolina at Chapel Hill School of Nursing ("UNC School of Nursing").

School of Nursing: Device Labeling and Inventory Standard

Introduction

Purpose

This standard creates and maintains required expectations for registering and cataloging devices owned by the University of North Carolina at Chapel Hill School of Nursing ("UNC School of Nursing" or "SON"). 

Scope

This standard applies to all members of the SON community who use any devices, such as workstations, laptops, tablets, monitors, and technology procured through SON IIT as “Equipment.”

Procedure

The UNC School of Nursing must accurately catalog all acquired Equipment before providing that technology to a SON user. In order to properly catalog Equipment, SON IIT must:

  • Authorize and approve all Equipment purchased through the UNC School of Nursing;
  • Label and assign all Equipment provisioned or purchased through UNC School of Nursing to a SON user. Labels must reference the identity of the Equipment's owner (user), title, and email address.
  • Maintain a digital hardware inventory list of all Equipment, including:
    • Warranty status,
    • User assignment, and
    • “Return Status” for loaner devices.
  • Remove Equipment from the owner (user) during the offboarding process with the Human Resources department and assign that Equipment back to IIT Inventory.

The UNC School of Nursing must maintain a device labeling and inventory management system. SON IIT uses BlueTally to manage and inventory all SON Equipment. BlueTally dashboards are only accessible and viewable by SON IIT staff.

BlueTally Tally Inventory Management System Dashboard

BlueTally provides a Dashboard so SON IIT may quickly assess Equipment resources, needs, and identify priorities for onboarding and offboarding SON employees. 

Asset Management Dashboard

The BlueTally Asset Management Dashboard allows SON IIT to see the complete inventory of all equipment owned by the UNC School of Nursing, including how many are currently assigned to SON users and how many are available for assignment.

Employees Dashboard

The BlueTally Employees Dashboard allows SON IIT to see the current list of SON employees and what Equipment is issued to each individual.

Exceptions 

Equipment that does not require IIT approval for procurement, or considered as consumable, will not be included in the BlueTally system. Examples include:

  • Simulations Equipment
  • Equipment provided by facilities
  • Consumable Equipment, such as printer toner/cartridge
  • Disposable Equipment for hygienic reasons, such as headphones/earphones.
