Process

Each executive committee's (EC) work for an academic program focuses on curriculum and policies related to admissions and student progression. The work of the committee is directed by the elected chair and is done collaboratively with the Senior Associate Dean for Academic Affairs. Decisions made by the committee are recorded in the minutes and, as such, provide direction to the EC chair and Associate Dean for their implementation.

When decisions are made at EC meetings, the EC chair should, with the Executive Committee's input, articulate a time line for implementation, identify resources needed and how the resources will be requested or obtained. When implementation of an EC decision necessitates involvement of other people, these people will be identified in the meeting minutes and notified of their involvement by the EC chair along with Associate Dean.

Generally, the Associate Dean oversees implementation of EC decisions. In some cases, the vote of faculty associated with the relevant Program is needed prior to implementation of a decision by EC members. Such a vote is usually related to a "larger curriculum" decision as directed in the Faculty Constitution, Bylaws and Rules posted on the Employee Hub. 

For issues that warrant further discussion or work by a task force or another faculty committee prior to decision-making and implementation, the EC chair along with the Associate Dean will communicate with the appropriate persons or establish an ad hoc committee, in consultation with EC members.

For issues that involve the larger faculty and possibly staff, the EC chair may take EC issues to the Faculty Executive Committee (FEC) or, in some cases, directly to the FEC chair/Faculty Chair for placement on the agenda for SON community meeting (includes faculty and staff) in attendance as indicated by the issue. At the meeting, "next steps" and persons responsible for taking these steps will be determined and recorded in the minutes, along with a time line for enactment and follow-up.

EC may also direct the Associate Dean to take EC issues to the Academic Affairs Leadership Council.

The program director may also take executive committee issues to the Academic Affairs Leadership Council at the direction of the executive committee.

Responsibilities of the executive committee chair and support staff

Executive Committee Chair

The executive committee chair coordinates the work of the committee and conducts the meeting. In conjunction with the Program Director he/she:

  • Develops meeting agenda
  • Reviews minutes before taken back to committee for approval
  • Follows up on items from executive committee meetings
  • Records and processes minutes of executive committee meetings
  • Processes and distributes the meeting agenda using a consistent mechanism
  • Track motions, votes, and actions to be taken and highlights in the minutes
  • Post minutes and associated documents to relevant sections of the Y drive  after approval by the EC and as directed by the EC chair.

Executive Committee Chair

The EC chair coordinates the work of the EC and conducts EC meetings. In conjunction with the Associate Dean, the chair:

  • Develops meeting agenda
  • Reviews minutes before bringing to committee for approval
  • Follows up on decisions and action items from EC meetings
