UNC One Card Building Access Cards for Short Time Contractors Doing After-Hour or Weekend Work

Summary

We will issue Building Access Cards to contractors for special projects by the authority and sponsorship of the Department where the work is being done. We will gather all required information from the contractor and enter that into our One Card Database for tracking purposes.

Body

If a department has a need for an access card for work by a contractor after hours or on weekends, the following policy is to be followed:

Building Access Cards will be issued to contractors for special projects under the authority and sponsorship of the relevant Department. If a contractor requires a card for more than 8 weeks, they must be entered into the Affiliate system. For shorter durations, we will collect all necessary information from the contractor and record it in our One Card Database for tracking purposes.

Procedures

  1. When a department requires special work from a contractor during off hours and weekends, the contractor may need a Building Access Card to control electronic access to the building, managed by the One Card Office, instead of being issued a key.
  2. The department will receive a form to fill out the necessary criteria for the contractor.
  3. Additionally, the department must contact the One Card Office via email (onecard@unc.edu) to authorize the issuance of the card.
  4. Once authorized, the contractor can visit the One Card Office to receive the access card.
  5. The One Card Office will collect the following information from the contractor, either in person or via the form from the department, to be entered into the One Card Database:
    • First and Last Name
    • Gender
    • Date of Birth
    • Home Address
    • Local Address (sponsoring department, including sponsor's name if possible)
    • Classification: "Access Card"
    • Expiration Date: no longer than 2 month
    • A photo to be printed on the card
  6. A fee of $10 will be charged for the card, payable by either the department or the contractor.
  7. The department will be provided with the ID number issued to the contractor, allowing them to add the appropriate access group to the card.
