I. Introduction

Purpose

The purpose of this document is to establish the expectations for organizing and conducting activities relating to the UNC Adams School of Dentistry's annual Vendor Day.

Scope

This Procedure applies to all School of Dentistry personnel, as well as Vendors who seek to participate in Vendor Day activities.

II. Definitions

  1. Covered Personnel: all ASOD employees, faculty, students and residents, regardless of the location at which they work or are assigned.
  2. Vendor Day: annual Promotional Event organized by the Spurgeon Dental Society and held on-site at the School of Dentistry convened for the purpose of educating students on vendor relationships that may be relevant to their career as a dental professional.

III. Procedure

  1. All participating Vendors must register in advance of the event and pay the applicable fee to set up an exhibit table.
    1. Registration instructions and fees are subject to change. 
    2. Upon registration, Vendors must be given a copy of the School's Vendor Relations Policy for review.
  2. Vendors may distribute Vendor-Authored Materials or Samples to Covered Personnel at their exhibit table. For more information about Vendor-Authored Materials and Samples, refer to the School's Vendor Relations Policy.
  3. Vendors may distribute small gifts (items that have a relatively trivial or de minimis value) to Covered Personnel at their exhibit table, such as pens, tote bags, or notebooks/planners.
  4. Vendors may donate gifts for Prize Drawings to the Spurgeon Dental Society through the Dental Foundation of North Carolina. For more information about conducting Prize Drawings, refer to the School's Vendor Relations Policy.
  5. Interactions with vendor representatives should take place only in designated Vendor Day areas (such as the Atrium). Vendor representatives should not be given access to clinical areas in connection with this event.
